As a member of the Notre Dame Cross Country and Track & Field (XCTF) staff, you will have the unique opportunity to impact the lives of our XCTF student-athletes on a daily basis and be part of an excellence-driven environment. The main responsibility of this role is to assist head and assistant cross country/track & field coaches and sport administrator(s) in conducting and managing the daily operations of cross country and track & field program, including the following:

  • Oversee the day-to-day administrative and operational functions of the Cross Country and Track and Field program in conjunction with the Head Coach and Sport Administrator. Serve as liaison to various internal constitutes, including facilities, marketing, game management, and Fighting Irish Media. Represent the Head Coach and the Sport Administrator at meetings as needed.
  • Oversee all aspects of team travel, including domestic and international. Logistics include transportation (ground/air), hotels, and meals. Create and distribute travel itineraries as well as supporting documentation as required by University. Coordinate travel for conference and NCAA championships, and serve as liaison to ACC and NCAA representatives for both tournaments.
  • Coordinate all aspects of home cross country and indoor track & field competitions. Serves as Meet director for all home cross country (2-3), indoor track (4-5), outdoor track (1). Hire and place all officials. Coordinates visiting teams and meet entries. Solicits bids and hires company to time and score cross country/track meets. Oversees competition venue set-up and tear-down, collects entry fees from visiting teams, liaisons with relevant university staff and lead contact for all other home meet questions and activities.
  • Under direction of Coaching staff, serve as liaison for external affairs events (e.g., Alumni, Development, Monogram Club, etc.). Assist with implementation of special events as related to XCTF program. Work with various campus partners, including Athletic Advancement and Marketing, on issues related to stewardship and relationship building with prospective and current donors, program alumni, and friends of the program (e.g., through developing marketing materials, such as regular newsletter, creating content for website and social media channels, creating and executing on various fundraising and friend raising events.)
  • Under direction of Coaching Staff, coordinate logistics related to prospective student-athlete official and unofficial visits. Serve as primary manager and developer of all aspects of program summer camps. Work with team Nutritionist to organize and execute team room nutrition. Maintain fiscal and reporting responsibility with delegated authority for certain budget items. Perform other duties as assigned.

  • Bachelor’s degree from an accredited institution;
  • Excellent knowledge of cross country and track & field
  • In-depth knowledge of NCAA rules and compliance;
  • Excellent communication and interpersonal skills;
  • Excellent computer skills, specifically in regards to the Microsoft Office Suite and Google Drive.

Additional preferred qualifications include prior experience of at least 1-3 years in collegiate cross country and track and field either as an athlete, coach or member of program staff.
